Positions available:
Company Administrator
As a member of our Administration and Finance team, the responsibilities of a Company Administrator are multifaceted and include human resources, facilities management, and other various administrative duties. The position is ideal for a detail-oriented multi-tasker who is keen to work in a creative, dynamic and fast- paced environment. The position will report to the Relationship Manager and work closely with both the Accounting Manager and General Manager. During the probationary period, the position will be guided by the Relationship Manager.
Key Responsibilities:
Human Resource Administration
-
Manage all HR functions including job postings, scheduling of interviews, contract drafting, and employee onboarding/offboarding processes.

Responsible for work pass application, renewal, and cancellation processes.
-
Maintain an updated HR database and manage employee records, leave entitlements, and other company benefits.

Schedule performance reviews for the General Manager and Artistic Directors.
-
Handle paperwork for visas, work approvals, and insurance for staff and other freelancers if required.
-
Submit government-related grants for childcare, maternity, national service, and training programmes.
-
Register team members for relevant training programmes as needed and maintain a training record for the company.

Coordinate fun and exciting staff activities.
Board Administration -
Assist the General Manager in providing administrative support to the Board.

Prepare Board meeting materials, draft Board minutes, coordinate the digital signing of essential documents, and manage any other follow-up documentation to ensure compliance with legal and regulatory requirements.
Facilities Liaison:

Serve as facilities liaison and fire warden to ensure a safe and hygienic office and rehearsal space.

Manage vendor relationships for cleaning and maintenance of office equipment and facilities.

Procure office supplies including stationary, pantry, first aid, and production-specific needs.
Other responsibilities:

Support the Artistic Directors and Accounting Manager in tracking royalty contracts, payment, and withholding taxes for Season productions.

Support the Accounting Manager in the preparation for the yearly statutory audit.

Perform other administrative duties as assigned.
Skills and Qualifications

Singaporeans and PRs only.
-
A Diploma or Degree in a relevant field, or related field.
-
1-2 years of experience in a non-profit/charity sector is a plus.

Excellent command of written and spoken English.
-
Strong affinity for details and ability to multitask and interface with divergent constituencies.

Discretion and ability to handle sensitive and highly confidential information and material
appropriately.

Must be organised and self-motivated. Proven ability to work under pressure and meet deadlines
while working independently and within a small team.

Proficiency in Microsoft Office is a must, and familiarity with HR/accounting software is a plus.

Ability to work regular office hours in addition to nights, weekends and occasional holidays.

Interest in theatre and the Arts. Knowledge of IPC and charity requirements is ideal.

Production Coordinator
As a member of our Production team, you will be working with the Production Manager to ensure efficient and effective backstage operations, and that every show opens as planned and within budget. You will play a crucial role in supporting the creative team in bringing their vision to life. The position will report to the Production Manager and is a full-time position.
Key Responsibilities
- Assist with pre- and post-production work for all productions as well as education and outreach programmes.
- Coordinate and maintain relations with external contractors and venues to best serve the production.
- Organise and maintain props and costume inventory.
- Archive all documents and important information during post-production.
- Write meeting minutes and assist with all production-related administrative matters as needed.
- Primary contact for all phone and email enquiries for the education and outreach programmes.
- Carry out other duties and responsibilities as and when assigned by the Management team.
- A Diploma or Bachelors' degree in Theatre Production, Technical Theatre, Arts Management, or a related field.
- At least 1 year of relevant professional experience in theatre production or stage management preferred.
- Team player, resourceful, self-driven, and able to prioritise work to meet tight deadlines.
- Ability to multi-task.
- Meticulous attention to accuracy and detail, and excellent communication skills.
- Able to commit beyond the regular working hours, including working on weekends and public holidays when needed.
- Knowledge of industry-specific software such as AutoCAD and SketchUp would be a plus.

Be responsible for the planning and execution of marketing campaigns and initiatives. This includes conducting market research, creating marketing materials and assist with social media planning.
Fundraising Assistant
Assist in the planning, execution and evaluation of fundraising campaigns and initiatives. This includes researching potential donors, creating fundraising materials and assisting with special events.
